Salary Range:  60,000-$75,000

Summary

This position supports the financial and operational management of the Veterans Health Foundation’s portfolio of sponsored programs. The role promotes sound fiscal stewardship, ensures compliance with sponsor requirements and organizational policies, and delivers responsive, high-quality service to VA research teams, Foundation leadership, administrators, and external sponsors.

Primary Responsibilities:

  • Demonstrate a strong commitment to the mission of serving veterans and advancing veteran- focused research, integrating this commitment into all aspects of assigned responsibilities.
  • Partner with the Controller to support enterprise-level financial operations, including reporting, internal controls, process optimization, and cross-functional financial initiatives aligned with the Foundation’s strategic objectives.
  • Demonstrate a strong commitment to teamwork by supporting colleagues, proactively identifying and resolving issues, and contributing to a collaborative environment that advances the mission of serving veterans and supporting one another.
  • Ensure research teams can make informed financial decisions by providing timely and accurate tracking of project budgets and expenditures.
  • Assist PI's to confidently plan and manage project resources by offering expert support in budgeting, forecasting, and cost control.
  • Enable successful audits and reviews by preparing compliant financial reports and justifications that align with funder and institutional regulations.
  • Reduce administrative and financial risks by proactively identifying potential compliance issues and implementing corrective actions.
  • Facilitate seamless communication with funding agencies and auditors to resolve financial queries and ensure clarity in project reporting.
  • Improve the efficiency of project financial workflows by contributing to the enhancement of internal tools, templates, and best practices.
  • Coordinate with the Grants Manager, who leads all project-related sub-agreements (MOUs, JPAs, IPAs, ICs, and other funding instruments), supporting execution and ensuring alignment with approved budgets and organizational standards.
  • Prepare invoices for grants and contracts and follow up on receivables as needed.
  • Analyze and review project expenses, validating that project allocations align with approved budgets, sponsor requirements, and established cost allocation methodologies.
  • Review procurement and financial transactions for compliance with 2 CFR Part 200 (Uniform Guidance), sponsor award terms, and Foundation policies; identify and communicate noncompliant items, coordinate resolution with appropriate stakeholders, and escalate issues to the Controller as needed to support timely corrective action and sound fiscal management.
  • Administer and reconcile project budgets across a range of funding sources (federal, state, private)
  • Coordinate with staff on assigned projects to prepare budget requests for funding agencies, supporting preparation and ensuring financial accuracy and alignment with approved budgets and organizational standards.
  • Identify and resolve issues or discrepancies related to post-award activities while maintaining accurate and organized records.
  • Monitor and document project deliverables and timelines, to support successful project execution.
  • Prepare schedules and reports for annual audit, and assist with any corrective actions as required.
  • Execute monthly billing, accounts receivable, and assessment processes for the grants program, ensuring accuracy, timely reconciliation, and compliance with approved budgets and organizational policies.
  • Develop, maintain, and stay current on knowledge of federal regulations and policies related to sponsored research, applying guidance as appropriate.
  • Perform all other duties and tasks assigned that are consistent with the scope and responsibilities of the position.

Experience:

Required:

  • Bachelor’s degree in business administration, Accounting, Finance, or equivalent combination of education and experience.
  • Minimum of 2 years of professional experience in accounting or financial operations, with demonstrated proficiency in general ledger management, cost analysis, and core accounting principles.
  • Proven analytical and problem-solving capabilities, along with strong interpersonal and communication skills required.
  • Advanced knowledge of Microsoft Office Applications (Excel, Word, PowerPoint).
  • Demonstrated proficiency with financial/accounting systems(e.g.Quickbooks) with the ability to quickly learn and navigate new platforms.
  • Excellent organizational skills, team player, effective follow-through, commitment to excellence and the mission of the organization.

Preferred:

  • 2-4 years of experience at an academic institution or non-profit institution managing federal, state, and foundation grants.
  • Knowledge of sponsor-specific reporting requirements (0MB circulars A-110, A-122, and A-133)
  • Proficient in QuickBooks
